Job Summary

The Payroll Specialist is responsible for the accurate and timely processing and reconciliation of payroll discrepancies for semi-monthly and bi-weekly payrolls as needed for the Jacksonville University (“University”) employees. The incumbent ensures compliance with University, Federal, State, and local tax laws, garnishment laws and other governing bodies as required and best practices. The incumbent will report to the Accounting Manager of Disbursements. The incumbent collaborates very closely with the accountants, Office of People and Culture (“Human Resources”) and the Office of Student Employment employees and other internal customers within the University.

Duties/Responsibilities

 

  • Manage and processes biweekly student payroll in collaboration with the student
    employment coordinator.
  • Manage and Processes semi-monthly payroll under the supervision of the Accounting
  • Manager of Disbursement and in collaboration with the Office of People and Culture.
  • Submits banking files for payment in a timely manner.
  • Answers and screens phone calls, assists walk-in customers, and responds to emails and voicemail messages in a timely manner.
  • Maintains and updates student and employee’s payroll schedules, serving as a liaison between the Office of People and Culture and ADP.
  • Reconciles assigned general ledger accounts.
  • Prepares reports and necessary journal entries at month end.
  • Act as backup in the absence of the Accounting Manager of Disbursements in payroll matters.
  • Other duties as assigned.

Required Skills/Abilities

  • Previous experience in payroll, finance, or similar roles
  • Understanding of local and governmental rules regarding payroll.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and projects, mobilize efforts toward completion, and deliver with a degree of quality on a consistent basis.
  • Demonstrate the ability to think critically and evaluate procedures and make recommendations that improve productivity.
  • Ability to communicate and interact in a professional and positive manner with a wide range of stakeholders including faculty, staff, students, vendors, and others who conduct business with the university community.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Education, Certificates, Licenses, & Experience

  • Bachelor’s degree in related field preferred. Work experience can be substituted for a degree requirements.
  • At least three years of payroll experience required.
  • Experience with ADP or similar payroll systems is highly desirable.
  • Previous experience with using Ellucian (Colleague) software program.

Physical Requirements

Examples:

  • Must be able to lift and carry equipment and supplies weighing up to 20 pounds.
  • Must be able to bend, stoop, and reach.
  • Manual dexterity to efficiently operate a computer keyboard and other business machines.
  • Adequate hearing to communicate effectively in person and by phone.
