Position Description

​Performs a wide range of administrative and general support of duties for the Financial Affairs Division. Incumbent reports directly to the Vice President for Finance and Administration.


Essential Job Duties:

  • Provides clerical/administrative support to the Vice President for Financial Affairs
  • Communicates the Vice President's instructions to various individuals and departments as directed
  • Furnishes and obtains information to and from other University personnel and outside representatives
  • Schedules appointments and arranges meetings, conferences, travel, etc.
  • Organizes and maintains correspondence and records, follows up on pending matters with limited direction
  • Drafts routine correspondence for the Vice President's approval
  • Assists in the preparation and compilation of reports for Finance, Investment and Buildings and Grounds Committee meetings
  • Prepares special reports, gathering, summarizing and analyzing data
  • Organizes and expedites flow of work through the office and initiates follow-up actions as needed
  • Assembles all material such as check requests, purchase requisitions, invoices, grant proposals, personnel/payroll forms, etc., to be processed for approval in the Financial Affairs Office - distributes to appropriate departments after approval
  • Maintains inventory of office supplies and equipment for the department
  • Performs other related duties as assigned

General Comment: Position requires a high level of tact and integrity due to the great frequency of senior level internal and external contacts and regular exposure to confidential data.

Prerequisites Required for Position:

  • High School Diploma
  • Type 55 wpm
  • Competency in Microsoft Word, Outlook and Excel
  • Excellent communication, organizational and customer service skills
  • Ability to work with minimal supervision and to exercise independence and discretion
  • Requires previous experience in a similar position
