Position Description

To support and maintain an effective working environment for the assistants, doctors, and patients, ensuring all clinical support tasks are efficiently carried out, inventory and ordering systems are created and followed, and infection control policies and procedures are followed at all times. The coordinator may act as a floater—providing help and instruction for the chairside assistants if necessary.

Other responsibilities—prepare exam rooms, perform chairside assistance to orthodontic service providers, and sterilize/maintain instruments on a rotating basis.

Requirements

Essential Job Duties:

  • Coordinates communication with chairside assistant, facilitating the ever-changing needs of the clinic and doctors
  • "On-call" assistant - the purpose of the "on-call" is to reinforce back-up procedures when the clinic is busy or there is a shortage of chairside assistants; maintains supply and material inventories; ordering replacements as needed
  • Monitors OSHA compliance clinic wide, including regular updates of the MSDS manual and accident reporting per JU policy
  • Creates, maintains and audits the clinic's inventory and ordering systems
  • Reports to the Business Manager - progress reports, assessments and meeting to keep manager informed of all clinical matters

  • Prepares patient for treatment, sets up instrument trays, prepares materials and assists service provider in performing orthodontic procedures
  • Takes diagnostic X-Rays
  • Instructs patients in oral hygiene and plaque control programs
  • Makes preliminary impressions for study casts and occlusal registrations for mounting study casts; pours, pulls casts and returns to resident
  • Sterilizes and disinfects instruments
  • Provides post-operative instructions to patients, as prescribed by service provider
  • Records treatment information in patient records
  • Takes and records medical and dental histories and vital signs of patients, if doctor is not available
  • Tracks lab procedures, ensuring that results are returned within required time frames
  • Performs housekeeping tasks to maintain exam and treatment rooms and storage areas in a clean, orderly condition
  • Maintains confidentiality; protects the security of dental records and adheres to all HIPAA guidelines/regulations
  • Operates standard office equipment and uses required software applications
  • Performs other duties and responsibilities as assigned

Knowledge, Skills & Abilities:

Knowledge of:

  • Dental terminology
  • Orthodontic dentistry chairside assistance processes and procedures
  • Sterilization techniques and procedures
  • OSHA standards and requirements

Skill In:

  • Providing chairside assistance
  • Sterilizing and disinfecting dental equipment
  • Operating and maintaining a wide variety of dental equipment
  • Accurately maintaining patient treatment records
  • Operating standard office equipment and using required software applications

Ability To:

  • Read, understand and follow oral and written instructions
  • Organize and prioritize multiple detailed tasks within tight timeframes
  • Communicate effectively, both orally and in writing
  • Work collaboratively within a team environment
  • Handle stressful situations and provide a high level of customer service in a calm and professional manner, including calming fearful patients
  • Establish and maintain effective working relationships with patients, service providers, faculty and staff

Work Conditions:

  • Normal business hours; some additional hours may be required
  • Climate controlled office environment

Physical Requirements:

  • Sitting - up to 8 hours per day
  • Walking - up to 2 hours per day
  • Standing - up to 6 hours per day
  • Computer keyboard - up to 6 hours per day
  • Lifting - up to a maximum of 30 pounds, but will generally not apply

Qualifications

Prerequisites Required for Position:

1. Minimum Education/Experience Requirement:

  • High school diploma and some college or technical training in a related discipline and two (2) years experience in infection control, sterilization and or chairside dental assistance or an equivalent combination of education, training or experience.

2. Licenses/Certifications:

  • Certified Orthodontic Dental Assistant and or Certified X-Ray Technician designation is preferred
  • A valid driver's license is required prior to employment and must be maintained during employment.
