Position Description

The Associate Registrar is the second in charge of the Registrar’s Office, represents the Office when the Registrar is away, and serves on University Committees.  The Associate Registrar supervises the support staff to ensure that their work is being done in a timely, accurate, and customer friendly manner.  The Associate Registrar leads the Degree Audit Team that updates the Degree Audits each catalog year, acts as liaison with the academic areas, and offers sessions for advisors and faculty.  The Associate Registrar supervises the graduation certification and works with students and advisors on graduation issues.  The Associate Registrar also works with the certification of Veteran Benefits and keeping the JU Community updated on the Veteran Programs.


Essential Job Duties:

  • Recent experience working in a Registrar's Office
  • Working knowledge and understanding of higher education policies and regulations
  • Experience with a student information system, preferable with Ellucian (formerly Datatel)
  • Experience with an automated degree audit system, preferable with Ellucian (formerly Datatel); or an experienced computer programmer
  • Processed graduation certification
  • Experience with the evaluation and awarding of transfer and alternative credits
  • VA certifying official
  • Supervise Registrar support staff to ensure that their duties are performed with accuracy and with good customer service
  • Served on university committees

Special Skills:

  • Experience working with a student information system, preferable with Elllucian (formerly Datatel)
  • Excellent computer skills with proficiency in Microsoft Work and Excel
  • Experience working with E-Mail
  • Excellent oral communication skills
  • Excellent writing skills
  • Excellent critical thinking skills
  • Must be able to work in a dynamic environment and adjust to changes quickly
  • Excellent problem solving skills

Work Conditions:

  • Standard office hours are 8:30 am to 5:00 pm, with required evening and weekend hours during the year
  • Work is primarily indoors, but requires the incumbent to be in an outdoor environment when traveling between campus buildings or being off-campus
  • Travel to conferences and workshops held throughout the USA
  • Incumbent will be exposed to frequent noise caused by telephones and office machines
  • Work in an enclosed and windowless environment, such as the "vault" or basement

Physical Requirements:

  • Must be able to lift and carry equipment and supplies weighing up to 40 pounds
  • Must be able to bend, stoop and reach
  • Manual dexterity to efficiently operate a computer keyboard and other business machines
  • Near vision sufficient to read written communications and computer display screens
  • Adequate hearing to communicate effectively in person and by phone
  • Must be able to stand for long periods of time

Prerequisites Required for Position:

1. Minimum Education Requirement:

  • Master's degree, but will consider Bachelor's degree with outstanding Registrar experience

2. Minimum Work Experience:

  • Demonstrate ability to work with diverse groups
  • Ability to successfully balance and manage multiple task in an active, fast-paced environment
  • Excellent oral, written and computer skills
  • Work in a college/university environment, preferably in the Registrar's Office
  • Worked in an environment that is heavy regulated, so familiar with reading and understanding governmental and regulatory agencies regulations

 3. Preferred Qualifications:

  • Master's degree
  • Work in a college/university Registrar Office
  • Experience supervising employees
  • Familiar with Datatel's Colleague
